Last updated November 5, 2026
This Privacy Notice for Doc Bear Enterprises, LLC ("we," "us," or "our") describes how and why we access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:
- Visit our website at https://docbearscomfort.kitchen, or any website of ours that links to this Privacy Notice
- Use our Doc Bear's Comfort Kitchen application for food inventory management, recipe discovery and importing, meal planning, shopping lists, receipt scanning, nutrition analysis, recipe costing, voice input, and international barcode scanning
- Engage with us in other related ways, including any sales, marketing, or events
Questions or concerns? Reading this Privacy Notice will help you understand your privacy rights and choices. If you do not agree with our policies and practices, please do not use our Services. If you still have questions or concerns, contact us at privacy@docbear-ent.com.
SUMMARY OF KEY POINTS
What personal information do we process? Information you give us (account details, food inventory, recipes, meal plans, shopping lists, prices you record) and information generated as you use the Services (barcodes you scan, imports you run, features you use).
Do we process sensitive personal information? We do not ask for government identifiers, payment card numbers, or health records. You may choose to record dietary preferences, restrictions and allergies, which some laws treat as health-related information. You control whether to enter them and can delete them at any time.
Do we collect information from third parties? We retrieve product information from international food databases and process content you point us at — recipe web pages, public cooking videos, and photographs of receipts you take — using third-party AI services.
How do we process your information? To operate the Services, to provide the specific features you use, to keep the Services secure, and to comply with law.
Do we use AI? Yes, and it is optional. Recipe importing, Recipe Ideas, nutrition analysis, recipe scaling tips, money-saving ideas and receipt scanning are performed with the help of a third-party AI provider. Section 6 names them and describes exactly what is sent. Your content is not used to train AI models.
Do we collect information from minors? The Services are for users 13 and over. We apply graduated protections by age — see Section 14. We do not serve behavioural advertising to anyone under 18, and we do not store audio from any user.
What are your privacy rights? You can access, correct, export, and delete your information from within the app. Parents and guardians of users under 18 have additional rights and controls, described in Section 14.

All personal information you provide must be true, complete and accurate, and you must tell us of any changes.
2. HOW DO WE PROCESS YOUR INFORMATION?
In Short: To run the Services, to deliver the features you choose to use, to keep things secure, and to meet our legal obligations.
- To create and manage your account, authenticate you, and keep your account in working order
- To deliver the features you use — inventory, recipes, meal plans, shopping lists, barcode scanning, receipt scanning, nutrition analysis, recipe scaling and costing
- To synchronise your data across the devices you sign in on
- To send you administrative messages — email verification, password changes, account deletion confirmations, and parental notices for accounts belonging to users under 18
- To send reminders you have asked for, such as expiring-food notifications
- To respond to your enquiries and provide support
- To keep the Services secure, including rate limiting, abuse prevention and error diagnosis
- To understand which features are used, so we can improve them (Section 12)
- To comply with our legal obligations, including evidencing that you gave the privacy choices we recorded (Section 16)
3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
In Short: We do not sell your personal information. We use a small number of named service providers, listed here.
Our sub-processors
| Provider | Purpose | What reaches them |
|---|---|---|
| MongoDB Atlas (MongoDB, Inc.) | Database hosting | All account and application data, at rest |
| Bluehost (Newfold Digital) | Application and AI service hosting | All data in transit through our servers |
| OpenAI, L.L.C. | AI processing (Section 6) | Recipe text, video content and audio, receipt images, ingredient lists, and ingredient names with prices |
| Resend (Plus Five Five, Inc.) | Transactional email delivery | Your email address and the message content |
| RevenueCat, Inc. | Mobile subscription management | A pseudonymous customer identifier and subscription status |
| Stripe, Inc. | Web subscription payments | Payment details, provided by you directly to Stripe |
| Open Food Facts | Product lookup by barcode, and product search by name | The barcode, or the words you type into a product search. Nothing about you. |
| USDA FoodData Central | Product and nutrient lookup, chiefly for US products | The barcode, or the words you type into a product search. Nothing about you. |
| Apple / Google | Push notification delivery | A device token and the notification content |
| Apple / Google | Speech recognition for voice input (Section 4) | The audio of what you speak while the microphone is on. Depending on your device and language this may be processed on the device itself and reach them not at all. |
We may also share information:
- In a business transfer — in connection with, or during negotiations of, any merger, sale of assets, financing or acquisition
- To comply with law — where we are legally required to, or to establish, exercise or defend legal claims
- With your consent — for any other purpose you agree to
We do not sell your personal information, and we do not share it with retailers, advertisers or data brokers.
4. VOICE INPUT
In Short: Your device's own operating system converts your speech to text. Depending on your device, that conversion may happen on the device itself or on Apple's or Google's servers. We never receive, record or store audio.
Voice input lets you add inventory items, build meal plans and search hands-free.
- Handled by your operating system. Speech-to-text conversion is performed by your device's built-in speech recognition — Apple's on iOS, Google's on Android. Whether that conversion happens on the device itself or on the vendor's servers is determined by your device, your language and your device settings. It is not something we control, and we do not claim it. What we can state without qualification is that audio never reaches our servers.
- No recording. We do not record, store or transmit audio files. There is no setting that turns this on.
- Text only. Only the resulting text is used, to carry out the command you spoke.
- Entirely optional. Microphone access can be refused, and every feature remains usable by typing. You can withdraw microphone permission at any time in your device settings.
Third-party speech recognition. Because recognition is performed by your operating system, Apple and Google act as sub-processors for this feature and are listed as such in Section 3. That vendor's privacy policy governs how they handle your speech. Please refer to Apple's or Google's policy as applicable.
Users under 18. Voice input is off until a parent or guardian enables it, and a parent can switch it off again at any time. See Section 14.
5. INTERNATIONAL FEATURES AND DATA SOURCES
In Short: We look products up in international food databases using the barcode alone.
International barcode support
We support EAN-8, EAN-13, UPC-A and GTIN-14 formats and draw on:
- Open Food Facts — product information across many countries
- USDA — nutritional information for US products
- Regional databases — additional sources for accuracy in your region
- GS1 prefix analysis — the barcode prefix indicates the country that issued it, which we use to choose which database to search first
Only the product code, or the words you type into a product search, are sent. These lookups carry nothing about you — not your name, not your account, not your inventory. Some are made from your device and some from our servers, depending on the feature; what is sent is the same either way.
We keep a shared copy of the product information these databases return, so that the same product does not have to be looked up repeatedly. That copy holds product data only and is not linked to any account.
Currency, units and regional preferences
We store your preferred currency, unit system and regional settings so prices and quantities display the way you expect.
6. ARTIFICIAL INTELLIGENCE AND OUR AI SUB-PROCESSOR
In Short: Several features use a third-party AI provider. This section says exactly which features, exactly what is sent, and what happens to it once it gets there.
Our AI sub-processor is OpenAI, L.L.C. The following features send content to them:
| Feature | What is sent |
|---|---|
| Recipe import from a URL or web page | The page's recipe text |
| Recipe import from a public cooking video | The video's description and captions; where those hold no recipe, its audio (for transcription) and sampled frames |
| Recipe import from a photograph of a printed recipe | The photograph |
| Recipe import from a file or pasted text | The file's contents, or the text you paste |
| Receipt scanning | The receipt image or PDF (see Section 7) |
| Nutrition analysis | The ingredient list of the recipe being analysed |
| Recipe Ideas | The ingredients you select, and any meal type, cuisine or notes you enter |
| Recipe scaling tips | The recipe's ingredients and quantities |
| Money-saving ideas | Ingredient names and the prices you recorded |
AI processing is a consent choice. You can withdraw it in Privacy & Data at any time; the rest of the app continues to work. For accounts belonging to users under 18, AI features stay off until a parent or guardian turns them on, and the parent can turn them off again at any time.
What is never sent. We do not send your account credentials, your full inventory, your contacts, or your recipe collection as a whole. Only the specific content for the specific operation you asked for is transmitted.
Your content is not used to train AI models. Content sent to our AI sub-processor through their business interface is not used to train or improve their models unless the customer deliberately opts in to a data-sharing programme. We have not opted in. We verified the data-sharing settings on our account on 5 September 2026 and they are switched off. If we ever enable such a programme, we will update this notice and tell you before your content is included.
How long our sub-processor holds what we send. Content we send may be retained by our AI sub-processor for a limited period — currently up to 30 days under their published terms — so that they can operate the service and detect abuse, after which it is deleted. That retention is theirs and is governed by their terms, not by our own retention rules in Section 13.
Accuracy. AI output is a starting point, not a fact. Imported recipes, nutrition figures, scaled quantities and extracted receipt lines should be reviewed before you rely on them. This is especially important for allergens and dietary restrictions — always verify against the original source or product packaging.
7. RECEIPT CAPTURE AND PROCESSING
In Short: Receipt images are processed in memory, sent to our AI sub-processor to be read, and never written to our storage.
You can photograph a grocery receipt, or supply a PDF receipt, and have its line items added to your inventory.
What happens to the image:
- The image or PDF is uploaded to our server in memory only. It is not written to disk.
- It is passed to our AI sub-processor (Section 6) to be read.
- The extracted line items — product names, quantities and prices — are returned to you for review and correction.
- Once your session ends, the image is gone from our systems. We do not keep a copy.
What we do keep: the items and prices you choose to save, in your inventory and price history.
What our sub-processor keeps is governed by their terms, not ours, and is described in Section 6. Your receipt image is not used to train their models, and they delete it after their own limited retention period. We cannot make promises on their behalf beyond what their published terms state.
Receipt scanning is unavailable to users under 16. See Section 14.
8. PRICE TRACKING, RECIPE COSTING AND MULTI-CURRENCY SUPPORT
In Short: Prices you record are yours. We do not share your spending with anyone.
- We store prices you enter for items, and the store you associate them with
- We keep a price history so you can see what you last paid and where it was cheapest
- We calculate recipe cost, cost per serving, and — if you use the menu-engineering feature — food-cost percentage and margin against a menu price you set
- We store your currency and regional preferences
Your price and cost information is not shared with retailers, marketing companies or data brokers, and we do not sell it. It is used to show you your own figures.
Price and costing features are unavailable to users under 16. See Section 14.
9. PUBLISHING RECIPES, DISCOVER, AND SHARING OUT OF THE APP
In Short: Your recipes are private unless you publish them. Publishing shows them, and your account name, to every user.
Recipes are private by default. Every recipe you create or import is visible only to you unless you choose to publish it.
Publishing. If you publish a recipe, it appears in the Discover area of the app, where any signed-in user can find it by browsing or searching. Your account name is shown as its author. Do not include personal details — your full name, address, school, workplace or contact information — in a recipe you publish.
Un-publishing. You can make a published recipe private again at any time. Copies other users have already saved or shared are outside our control.
Ratings and reviews. If you rate or review a published recipe, your rating, your review and your account name are shown to every user who can see that recipe. They are deleted when you delete your account.
Reporting. You can report a published recipe or a review. We store your account, what you reported, the reason you chose, any details you add, and a copy of the reported text as it was when you reported it. The report is shown to our staff in the app and emailed to them. The person you reported is not told who reported them, and your identity is left out of any data export they request. A report is deleted when either your account or the reported account is deleted.
Blocking. You can block another user. We store the list of accounts you have blocked so that their recipes and reviews stay hidden from you. They are not told. The list is included in your data export and deleted with your account.
Sharing out of the app. You can send a recipe to another application on your device — a messaging app, email, or notes app — using your device's share feature. Once a recipe leaves the app this way, it is governed by the receiving application's terms and privacy policy, not ours.
Publishing restrictions apply to users under 18. See Section 14.
10. LOCATION INFORMATION AND REGIONAL COMPLIANCE
In Short: We use approximate region only, and never precise location.
We use a general, country- or region-level indication of where you are to:
- prioritise the right food databases for barcode lookups
- suggest an appropriate default currency
- offer region-appropriate store layouts and shopping categories
We do not collect GPS coordinates and we do not track your movements. You can change your regional preferences manually at any time in your profile.
Korea — Location Information Protection and Usage Act
For users in the Republic of Korea:
- We collect general geographic region only, at country/region level, for database optimisation and currency detection
- No precise GPS coordinates and no location tracking
- We provide no location-based services requiring KCC licensing
- No location data is shared with third parties
Other regions
- EU/EEA and UK users: region processing relies on our legitimate interest in providing relevant product data
- All users: minimal collection, with manual control
Our business address is 5249 N Park Pl NE, PMB 4011, Cedar Rapids, IA 52402, United States.
11. COOKIES AND TRACKING TECHNOLOGIES
In Short: Our website uses cookies necessary to run it. The mobile apps do not use advertising trackers.
Our website uses cookies and similar technologies to keep you signed in, maintain security, remember preferences and diagnose faults.
We do not use cookies or device identifiers for advertising, and we do not permit third parties to place advertising trackers in our Services.
Most browsers accept cookies by default; you can set yours to reject them, though some features may then not work.
12. ANALYTICS AND INTERNAL USAGE METERING
In Short: We measure how features are used, and we meter certain features against your subscription. Neither is advertising.
Feature analytics. With your consent, we record which features are used so we can see what is working. This is an optional choice you can withdraw at any time in Privacy & Data.
Usage metering. Independently of analytics consent, we count your use of metered features — for example the number of receipts scanned in a month — because subscription tiers include different allowances. This is necessary to provide the service you have purchased and is not optional.
Administrative reporting. Our administrators can see aggregate figures about how the Services are used, including totals, adoption rates and a list of the most active accounts. This is internal and is not shared outside the company.
No behavioural analytics for users under 18. For accounts belonging to users under 18 the analytics choice is not offered at all, and behavioural analytics is off.
13. HOW LONG DO WE KEEP YOUR INFORMATION?
In Short: For as long as you have an account, and then we delete it.
We keep your personal information for as long as your account exists. When you delete your account, we delete the personal information associated with it — your inventory, recipes, photographs, meal plans, shopping lists, saved stores, price history, saved contacts, profile photograph, ratings and reviews you wrote, reports you made, the list of users you blocked, and the account record itself.
Some information survives account deletion for the reasons below, and only for as long as those reasons apply:
- Records that a request was honoured — for example that a deletion was carried out and when. We keep the fact and the date, not a copy of the deleted data. This is how we demonstrate compliance if asked.
- Records required by tax, accounting or other law, such as transaction records.
- Backups. Deleted data may persist in backup archives until those archives age out. It is isolated from further processing in the meantime.
- Content held briefly by our AI sub-processor under their own retention period, described in Section 6. Deleting your account does not shorten that period, but it is short and it expires on its own.
Recipes you published and other users have saved into their own collections are copies held by those users, and are not deleted with your account.
14. CHILDREN AND USERS UNDER 18
In Short: You must be 13 to have an account. Protections increase the younger the account holder is, and parents have controls they can use at any time.
Under 13 — no accounts
Our Services are not for children under 13. We do not knowingly collect personal information from anyone under 13. If a date of birth entered at registration indicates an age under 13, the account is refused and no record of the attempt is kept.
If you believe a child under 13 has provided us with personal information, contact privacy@docbear-ent.com and we will delete it.
How we handle age
At registration we ask for a date of birth. We derive an age band from it and then discard the date of birth — we do not store it. The stored bands are: 13–15, 16–17, and adult.
Accounts created before this practice began may have no band recorded. The app asks the holder of such an account for a date of birth when they next sign in, derives a band from it, and discards the date in the same way.
A parent or guardian's email is required for anyone under 18
Anyone under 18 must supply a parent or guardian's email address at registration. We use it to tell that parent or guardian about the account and to give them the controls described below.
Accounts for users aged 13–17 are active immediately. We do not require a parent to act before the account can be used. What requires a parent's decision is set out below.
What differs by age
| 13–15 | 16–17 | 18+ | |
|---|---|---|---|
| Account | yes | yes | yes |
| Parent/guardian email required | yes | yes | no |
| Behavioural analytics | not offered | not offered | optional |
| Voice input | only if a parent enables it | only if a parent enables it | optional |
| Receipt scanning, prices, costing | not available | available | available |
| Publishing recipes publicly | not available | only if a parent enables it | available |
| AI features | only if a parent enables it | only if a parent enables it | optional |
| Subscription purchases | only if a parent enables it | only if a parent enables it | available |
| New recipes default to private | yes | yes | yes |
Why 16 for money features. We do not enable price tracking, receipt scanning or costing for users under 16, because those features would reveal household spending patterns.
Why 16 for publishing. Users aged 13–15 cannot publish a recipe publicly. Users aged 16–17 can once their parent or guardian has turned publishing on, and every time a user under 18 turns publishing on, we remind them not to include personal details.
AI processing and minors. A minor's content sent to our AI sub-processor is not used to train that provider's models, on the same terms as everyone else's (Section 6). AI features stay off for an account belonging to anyone under 18 until a parent or guardian turns them on; until then nothing is sent at all.
Voice input for users under 18
Voice is off for an account belonging to anyone under 18 until a parent or guardian enables it. A parent can switch it off again at any time, and when they do, the microphone disappears from the app rather than merely being disabled.
We do not store audio from any user, of any age. Speech is converted to text by the device's own operating system, which depending on the device may perform that conversion on Apple's or Google's servers rather than locally (Section 4).
Controls available to a parent or guardian
We email the parent or guardian a Parent Control Panel link when the account is created. From it, without needing the child's device, they can decide:
- Voice input — on or off
- AI features — on or off (recipe import, nutrition analysis, receipt scanning)
- Publishing recipes — on or off
- Subscription purchases — on or off
We then email them a PIN, which lets them change any of these later from within the app, on the child's device, at Profile → Parental Settings. The PIN is sent only to the parent's address and is never displayed in the app.
Switching publishing off also makes recipes already published private again, immediately. Switching it back on does not republish them automatically; the parent is offered that choice separately.
Rights of a parent or guardian
A parent or guardian of a user under 18 has the right to:
- review the personal information we hold about their child
- request that we delete it
- refuse further collection or use of it
- ask about our data practices regarding their child's account
- control voice input, AI features and publishing, as above
To exercise these rights, contact privacy@docbear-ent.com. We will verify parental status before acting, in proportion to what is being requested — a reversible settings change requires less proof than permanent deletion. We answer within 30 days.
Content
All content in the Services — recipes, nutritional information, meal planning — is intended to be suitable for users aged 13 and over. Recipes and reviews published by other users are moderated, anything inappropriate can be reported from within the app, and any user can be blocked.
International
We comply with GDPR Article 8, which gives additional protection to users under 16 in EU member states, and with other local laws that provide greater protection for minors.
15. YOUR PRIVACY RIGHTS, INCLUDING ACCESS AND EXPORT
In Short: You can see, correct, export and delete your information yourself, in the app.
Export a copy of your data
Privacy & Data → Download my data produces a file containing the personal information we hold about your account — your profile, inventory, recipes, meal plans, shopping lists, saved stores, price history, saved contacts, ratings and reviews you wrote, reports you made or that concern your content (without the reporter's identity), the list of users you blocked, and your record of privacy choices. You can choose whether to include your photographs. The file is in a structured, machine-readable format, so it can be moved to another service.
Security material — your password hash, verification tokens, and any parental PIN — is deliberately excluded.
Correct your information
Profile and account details can be edited in the app at any time. Contact us if something we hold cannot be corrected from within the app.
Delete your account and data
Settings → Security → Delete Account permanently deletes your account and the personal information associated with it, subject to Section 13. This cannot be undone.
Withdraw a consent choice
Privacy & Data lets you withdraw any optional consent at any time. Withdrawal does not affect the lawfulness of processing carried out before you withdrew.
Object or restrict
You may object to, or ask us to restrict, processing we carry out on the basis of our legitimate interests. Contact us and tell us what you object to and why.
Complain
If you are unhappy with how we have handled your information, tell us first — we would rather fix it. You also have the right to complain to your data protection authority (Section 17).
16. RECORDS OF YOUR CONSENT CHOICES
In Short: We keep a dated record of the privacy choices you make, so we can show what you agreed to and when.
Each time you make or change a privacy choice, we add a record containing: which choice, whether it was granted or withdrawn, the version of this notice in force, the date and time, the platform you used, whether the choice was made by a parent or guardian, and a one-way hash of your IP address.
The hash is salted and cannot be reversed to recover your IP address. Its purpose is to distinguish one consent event from another and to evidence that a choice was genuinely made.
These records are append-only. Withdrawing a consent adds a new record; it does not erase the earlier one. The history is what allows us to demonstrate compliance, and we rely on our legal obligation to keep it. It is included in your data export, and it is deleted with your account.
17. ADDITIONAL RIGHTS FOR EU/EEA AND UK USERS
Legal bases for processing
| Basis | What we rely on it for |
|---|---|
| Contract | Operating your account and delivering the features of the Services |
| Consent | AI processing, voice input, publishing, feature analytics |
| Legitimate interest | Security, fraud prevention, service improvement, regional optimisation |
| Legal obligation | Retaining evidence of consent and of rights requests; tax and accounting records |
Your rights
Access · rectification · erasure · restriction · portability · objection · withdrawal of consent. Section 15 explains how to exercise each.
International transfers
Our servers are located in the United States, and our sub-processors (Section 3) may process data in the United States and elsewhere. Where personal data is transferred out of the EEA or UK we rely on the European Commission's Standard Contractual Clauses, the UK Addendum where applicable, or an adequacy decision.
Data Protection Officer
Supervisory authority
You may lodge a complaint with your national data protection authority. For UK users this is the Information Commissioner's Office.
18. HOW DO WE KEEP YOUR INFORMATION SAFE?
In Short: We take appropriate measures, but no system is perfectly secure.
We use appropriate technical and organisational measures, including encryption in transit, hashed password storage, access controls on our systems, and separation of security material from exportable data.
No transmission over the internet and no storage technology is completely secure. We cannot guarantee that unauthorised third parties will never defeat our measures. Access the Services from a secure environment and use a password you do not use elsewhere.
If a breach affects your personal information and the law requires us to tell you, we will.
19. CONTENT RATING AND REGIONAL COMPLIANCE

- Rating: 13+
- Content: educational cooking content, food inventory management, nutrition information
- Mature content: none
- Gambling or simulated gambling: none

20. CHANGES TO THIS NOTICE, AND THE MOVE TO OUR NEW APPLICATION
We may update this notice. When we do, we change the date at the top and, where the change is material, we ask you to review and accept the new version the next time you open the app.
Moving to the new application. We are replacing the current application with a rebuilt one. When the new version is released:
- Your account and your data carry over. Nothing is deleted, exported, or transferred to a third party as part of the move.
- The previous application is discontinued and updating is required to continue using the Services.
- Your data is served from our own servers rather than our previous hosting provider. The sub-processor list in Section 3 reflects the new arrangement.
- Your privacy choices carry over. If this notice has changed materially, you will be asked to review it.
